Some iRecords not visible

Some years ago, when my fellow VCR and I began verification of botanical records for our vice-counties we often worked together from our separate homes, discussing difficult records and photos by phone whilst looking at our computer screens. All records were visible to both of us. Recently, however, a change seems to have been made with some records going to my colleague and some to me. Unfortunately, I cannot see the records going to him, nor he those going to me. We did not ask for this change and have not altered our settings. It makes verification more difficult, more time-consuming and less reliable. Is there some way of changing the settings so that we can both see all the records for verification?
